Document workflows: contracts, SOWs and onboarding

A meaningful part of the firm's real information arrives as a document and never cleanly reaches a system: an MSA and its SOWs buried in a partner's inbox, change requests agreed in email, vendor and cloud invoices re-keyed into accounting by hand, candidate and KYC documents collected over WhatsApp. Documents are re-keyed slowly with errors or lost, the obligations and caps inside a contract are not tracked, and when one is needed it cannot be found. The document choke-point quietly starves billing, recon, procurement and compliance of the inputs they need.

Who has it

Every segment, by its own document type: IT services and software-development firms (SOWs, MSAs, change requests), SaaS and product companies (contracts, order forms, vendor and cloud invoices), staffing and managed-services providers (candidate and client documents), and BPO / KPO and support operations (client contracts and SLA schedules); vendor and cloud invoices hit all of them.

What we build

Capture-once-at-the-door document handling: the contract, SOW, change request, vendor or cloud invoice, or candidate document is read, validated, filed against the right client, project or person, and made findable, then routed through its workflow. Key contract terms (scope, cap, rate, renewal date, SLA, liability) are pulled so they can be tracked instead of forgotten. It feeds the delivery app, the billing and forex reconciliation, procurement, and the compliance calendar.

What is automated, where AI helps, who signs off

Automation for the routine. A person on every decision that matters.

The reliable spine

The reliable spine is non-AI: the capture-at-the-door workflow, filing each document against the right client, project or person, the routing, and the tracking of caps, rates and renewal dates.

Where AI helps

AI is limited to reading a contract, SOW, change request, invoice or candidate document and extracting its key terms for a person to confirm; it never owns the number, the approval or the decision.

Who signs off

A named person signs off anything touching money, a customer promise, a regulated filing, a payment, a price, a credit decision or a people decision.

What changes day to day

Documents become data at the door instead of a re-keying queue; contract caps, rates and renewal dates are tracked instead of forgotten; the same document feeds billing, recon and compliance instead of being typed in three places; a needed contract is found in seconds.

Illustrative outcome

Removed re-keying, and obligations and renewals tracked instead of missed. Illustrative; final numbers come from your own data.
